Staff Assistant/Program Operations
Assistant (USAID)
RESPONSIBILITIES
Communications
· Maintenance of Regional Team Member/Operations Staff phone
lists.
· Phone tree staffing and call referral.
· Message service for Regional Team staff.
· Maintenance of and logging in information for staff binders
including but not limited to: incoming cables, outgoing cables, incoming
fax, outgoing fax, FEMA, DoD, Office of Transition Initiatives, OFDA Sitreps,
Food for Peace, OFDA Fact Sheets.
· Permanent reference copy of the information listed immediately
above and additionally: e-mail, maps, commodities, press release, logistics
actions, sitrep supporting documents, country clearance cables, daily log
and debrief, unit logs, grant proposals, e-mail.
· Printing and distribution of cables to appropriate persons.
· Printing and distribution of incoming fax transmissions.
· Management of, and printing and appropriate distribution of
Ops Center e-mail in-box account.
· Printing, distribution and collection of unit and phone logs.
· Maintenance of staff information clipboards.
Staffing
· Staffing plans - origination, maintenance, posting.
· Organization charts - origination, maintenance, posting.
· Shift scheduling for Operations Center personnel.
· Detailer scheduling for Logistics and Operations Center.
· Provide backup to the Logistics section as needed.
· Arrange security clearances for Ops Center, Logistics, and
agency liaison personnel.
Administration
· Contacts and scheduling of maintenance for computer and fax
systems, phones, and other related systems.
· Coordination with Logistics personnel on Operations Center
issues and issues that affect the Regional Team.
· Origination, updating and posting of OFDA and USG Commodity
shipments to affected areas.
· Attend and contribute to team meetings and other meetings
as required.
· Contribution of information to Fact Sheets.
· Assume duties or specific missions as dictated by circumstance,
or at the request of the Regional Team or AID/OFDA Staff.
